Working your first event with us? Here's what to expect.

We're happy to have you on board! We want to walk you through some common questions people have when they show up at their first event on your first day.

Showing Up, Arriving On Time

Being on time is extremely important in our line of work. There are often short trainings that start right at the beginning of a shift, so give yourself enough time to both park and find the meeting spot where you check in. Remember that many of the venues we work in are large buildings with multiple ballrooms or meeting locations. Look at the Ubeya app for information on the specific meeting spot at the venue.

Checking In & Your Team Lead

When you arrive, make sure you've located the Team Lead. There will be a Team Lead at every event you're part of. They'll know when you're starting and finishing, they'll know your name, and they'll be expecting you.

When you check in for your shift, you'll do it in one of two ways. The most common: tap Check In on the Ubeya app and your camera turns on. You can then scan the Team Lead's QR code on their phone. Sometimes there is a print out of the QR code and in those cases, you scan that code at the beginning of your shift.

Your Belongings

When you bring belongings such as food, there will be a place to put them. Keep in mind that break rooms and break areas are often unstaffed, and we're frequently working in public spaces. Don't bring anything you'd worry about being stolen or misplaced. Unless you know the area is monitored and secure, assume it isn't, and leave valuables in your vehicle or at home.

Communication

Your phone should only be used during a work shift for checking in, checking out, or communication via the Ubeya app. We discourage you from downloading any client apps, setting up group chats or anything else connected to client needs. If you have questions, they are best asked to your onsite team lead or via the Help Desk on the Ubeya app.

 

Breaks

During your shift, 10-minute rest breaks and 30-minute meal breaks are assigned based on the length of your shift and local labor-law requirements. We always make sure our staff get adequate breaks and rest periods during the day. When you arrive at the spot for your 30-minute break (if your shift is long enough to require one), open the Ubeya app and go to the shift task for your break. This lets you document the time of your break, attest that you received it, and sign off. This must be done for each 30-minute break you take.

Checking Out

When your shift is complete, you check out the same way you checked in: connect with your Team Lead and scan the QR code on their phone to check out. If you haven't finished your break attestations at that point, the system won't let you log out. Once you've logged out, you're officially off the clock.

Parking Reimbursement

For shifts where parking reimbursement is offered, you can upload it in the Ubeya app. There's a shift task labeled Parking Reimbursement. Upload your receipt there and designate the amount. Keep in mind we can only reimburse up to the amount stated on the job.

Getting Paid

Kinetic Events pays weekly for work in the field. Pay periods run Monday through Sunday, and you're paid the week after the pay period. Payment typically arrives Thursday evening or Friday via direct deposit. If you work a multi-day event that spans two pay periods, you'll be paid for each pay period independently.

Event Etiquette: Do's & Do Not's

DO show up on time for your shift. Punctuality is one of the most important qualities that we look for in our staff. If you are excessively late we may have to fill your shift with somebody else, in which case you will not be needed and removed from the event. 

DO arrive onsite in proper attire as laid out in your event details. You must look presentable, clean, and polished at all times.

DO treat our clients, attendees, and your coworkers with respect and politeness.

DO remain calm and composed while working. Events can be stressful sometimes so it's natural to feel overwhelmed. Remember to breathe and ask for help if you need it!

DO be aware of your body language while working. Facial expressions, body movements, posture, eye contact, hand gestures, tone, and volume of your voice should always be open and inviting.

DO be flexible and willing to work all roles onsite. We are there to assist the client in whatever way we can.

DON'T partake in any event "spoils" while working, on breaks, and after hours. All food, drink, swag, freebies, and giveaways are meant for guests/attendees of the event, not us.

DON'T use your phone while you are working unless checking in or out of your shift or completing a break form. If you are experiencing a personal emergency where you need to use your phone, please alert your Team Lead immediately so they can provide you with a short break to handle your situation.

DON'T abandon your post/position without being released by the Team Lead and/or client.

DON'T be late back from your rest/meal breaks. 

DON'T speak negatively about the event, the attendees, your coworkers/managers, or our client to anyone onsite ESPECIALLY directly to the client.

DON'T ask our client about your schedule, pay, paychecks, etc as they will not have those answers and it puts them in an awkward spot. When in doubt, direct all questions to our Help Desk on the Ubeya App

 

Questions? You can always visit the Ubeya app, go to Messages, and click Help Desk. There you can ask a variety of questions - we're generally pretty quick about answering them.
